Student Admissions and Enrollment Management
Handle every stage of student admissions — from inquiry to enrolled — in a single organised workflow that keeps your records clean and your staff on the same page.
The school problem this solves
Admissions season in many Ghanaian schools is a paper storm. Application forms come in from different sources, decisions are communicated informally, and building the final class list means reconciling multiple incomplete records. Mistakes at this stage create data problems that persist for the student's entire time at the school.
Core capabilities
- Capture student applications with all required biographical and academic data
- Track application status through configurable stages: received, reviewed, admitted, enrolled
- Generate admission letters and acceptance documents from within the system
- Assign admitted students to classes and create their full profiles automatically
- Record required documents and flag incomplete submissions
- Manage waiting lists and deferral decisions with a full audit trail
- View enrollment statistics by class, gender, and entry level
How the workflow operates
Applications arrive — either entered by staff or submitted through an online form — and each one receives a status in Clasra. The admissions team reviews applications, makes decisions, and sends admission letters from within the system. Once a student accepts and pays the required fees, the enrollment step converts their application record into a full student profile, pre-populated with all the data already captured. There is no re-entering of information at any stage.
Who benefits
Admissions Officer
Track every application in one place without maintaining separate spreadsheets, and know exactly where each applicant stands at any moment.
Headmaster/Headmistress
See enrollment progress and make admission decisions with full applicant context, not just a name on a form.
Administrator
Begin the new term with complete, accurate student records because every detail was captured at application time — not pieced together later.
Relevance for Ghanaian schools
Clasra supports the data fields required for standard Ghanaian school admission forms, including Ghana Card or birth certificate numbers, BECE results for JHS entry, and religion/denomination fields common on admission documents across many Ghanaian schools.

Frequently asked questions
Can parents apply online without visiting the school?
Yes. Schools can share a link to an online application form that captures all required information. Staff review submissions in Clasra without handling physical forms.
How does Clasra handle students transferring from other schools?
Transfer students go through the same application workflow, with a flag indicating they are transfers. Previous school and academic history can be recorded in their profile.
Can we store scanned documents for each applicant?
Document uploads are supported for items such as birth certificates, previous report cards, and passport photos, keeping the full applicant file digital and easily retrievable.
What happens if a student is admitted but does not enroll?
The application remains in the system with the decision recorded, contributing to your admissions statistics while keeping your enrolled class list clean.
