Visitor Management and Front Desk Control
Know who is on your school premises at every moment — with a digital visitor log that replaces the paper-based gate book and gives management real-time visibility.
The school problem this solves
Most school gate books in Ghana are a formality. Visitors write their name, sign, and walk in — with no photo, no verification, and no alert sent to the staff member being visited. The school has no way of knowing who is still on campus at any given time, creating a genuine safety gap that paper cannot close.
Core capabilities
- Log visitors with name, purpose, host staff member, and entry time
- Capture visitor identification details for verification
- Record vehicle details for deliveries and contractor visits
- Notify host staff automatically when their visitor is checked in
- Record exit times to maintain an accurate on-campus visitor count
- Produce daily and weekly visitor logs for security reviews
- Flag expected visitors so gate staff can verify identity against a pre-registered list
How the workflow operates
When a visitor arrives at the gate, the front desk officer opens Clasra on a phone or tablet and logs the visitor's details — name, ID, purpose, and who they are visiting. The host staff member receives an immediate notification. As the visitor leaves, exit time is recorded. The headmaster can view the current on-campus visitor list at any point. At the end of the day, a complete visitor log is available for the security record without any paper compilation.
Who benefits
Gate / Front Desk Officer
Log visitors accurately and quickly without maintaining a handwritten book that is difficult to search or review later.
Headmaster/Headmistress
Know at any time who is on your school premises and have a complete, searchable record of every visitor for security accountability.
Teaching Staff
Receive an immediate notification when a parent or visitor arrives to see you, so you are not surprised by unannounced interruptions during lessons.
Relevance for Ghanaian schools
The visitor management module addresses the school safety standards increasingly expected of Ghanaian schools, where accountability for who enters and exits the campus is an important aspect of institutional governance and parental trust.

Frequently asked questions
Does the visitor system require special hardware at the gate?
No. The visitor log works on any phone, tablet, or desktop — the gate officer uses whichever device is most practical for your school's setup.
Can we pre-register expected visitors such as contractors or inspectors?
Yes. Expected visitors can be pre-registered with their details and purpose, so gate staff can verify them against the list when they arrive rather than collecting all details from scratch.
How long are visitor records kept?
Visitor records are retained in the system for as long as the school requires. Historical records can be searched by date, visitor name, or host staff member.
Can parents visit without an appointment and still be logged?
Yes. Walk-in visitors without appointments are logged the same way — their details are captured at the gate and the host staff member is notified, allowing the school to manage the interaction appropriately.
